RACE INFORMATION  PROCESSES

 

 

OPERATING PROCESSES

 

On-Line Race Registration

 

BEFORE THE SEASON:

Contact Active.com to get their input/setup forms and to get our username and password (to access the Active.com website).

Complete Active.com form with the race information.  Send to Curt Spiel (curtspiel@yahoo.com) to review for accuracy.

Send the race information forms to Active.com.  Active.com will build the links and send them to the PNSA Web Master to be installed on the Masters’ Website.

When the race information is loaded on the Masters’ Website, test the system by registering for one of the races.

 Contact all Race Organizers to establish:

          If they are going to participate in the on-line registration.

          Who is the race contact point for racer registration information (name, email, phone/fax, address).

          Who to send the checks from Active.com.

Email Merilyn Moss (moss@halcyon.com) that the race information is loaded and ready for individual race registrations.  Merilyn will send a mass email to all racers on her database.

 

DURING THE RACE SEASON:

Monitor the Active.com website frequently.  Download the racer registrations.  Email the racer registration information to the Race Organizer.

Cutoff date for racer registration will be Wednesday before each race.  If an individual Race Organizer wants an earlier date, we will do that.

Active.com sends out checks within two weeks of each on-line racer registration.  Race Organizers will receive their funds no later than two weeks after the race.

 

AFTER THE RACE SEASON:

Recap the results of the season:

          Number of racer registrations per race.

          Description of any issues, problems, concerns, feedback from Race Organizers.

Obtain the racers’ email addresses from Active.com.  Send them to Merilyn Moss (moss@halcyon.com) to update her Masters’ Database.

 

Race Administration

BEFORE THE RACE:

Download the Masters Race Packet of forms from the USSA site.  This packet includes most of the forms you will need for the race.  Scroll down to the Master Packet of form zip file.

Receive the Race Packet from PNSA offices (sent generally mid-September).  This packet includes:

          Introductory letter from PNSA.

          Alpine Schedule Agreement Information – instructions for completing the form.

          Alpine Schedule Agreement form.

Complete the Race Packet paperwork and send it back to PNSA offices.

The paperwork must be at the PNSA offices by October 15th with all the paperwork fully completed and a check in the amount of $40 for each race day.  PNSA will send all the forms to USSA.

In early November go to the USSA website to get the race codes for each race.  These codes will be used to identify your races – and will be required on each race form you complete.  The codes can be accessed from the USSA homepage - Quick Tools.

Ensure your mailing and emailing address and phone number is correct as identified on the PNSA Masters Schedule webpage (www.pnsamasters.org); click on Masters; then scroll down to Race Organizer Contact Information). If the information is incorrect; email Ann Ozuna (aozuna@ieway.org)

Test the race result and timing software.

Email race flyer announcement information to the PNSA master’s group email list through Merilyn Moss (moss@halcyon.com); including:

           Lift ticket cost and availability.

          Where day-of-race registration will be held.

          Area run selected for the race.

          Time window during which registration will take place.

          Start times of first and second runs.

PNSA will assign a TD for your races.  The TD will select your race Referee.

           Your organizing committee with select your Chief of Race.

Select course setters and course preparation volunteers.

          Plan on setting standard gates (both the inside and the outside pole or panel/pole for GS/SG/DH, respectively).  SL can have single poles except for combination gates and the 1st and last gate of the race.

          Plan to have two separately set race courses for each race; GS and SL.

          If you need material support, e.g., gates, contact other ski clubs in advance.

Ensure you have enough race day volunteers: gate keepers, race registration, start and finish (timing), results preparation, finish area and banner placement, etc.  Race registration and the start/finish timing should have volunteers that have done this before.

Verify that awards for each class have been ordered - top 3 per class and gender.

Create an “Event Database” in your computer system.

          Enter all competitors’ data in the race(s) they have selected.  Keep track of who paid entry fees – this information can speed up registration.

 

RACE DAY:

Extra bibs (bib bag) will be delivered to your area before race registration opens – by racer volunteers.

Encourage Certified USSA Race Officials/Coaches who are racing to volunteer, to set/re-dress second run courses.

Method of inspection should be determined at your race officials meeting, e.g., course slipping, in-and-out only..... 

Materials needed at race registration:

          Race registration forms for day of race entries from licensed USSA masters.

             USSA Temporary License paperwork for racers who do not have a license.  Forms available on the USAA website.

 

 

Temporary Licenses

It is important to follow this process completely. 

If the Temporary License is not completely filled out, that individual cannot race.

 

BEFORE THE RACE:

Download the Temporary License forms from for the USSA website.

          Fill out the Race Dates, Race Name and Location.  This will help speed up registration.

          Make copies; front to back, so you only have one piece of paper.

Download Medical exemption release form for those that do not have medical insurance.

RACE DAY:

Have the racer complete the Temporary License form.

          Ensure the forms are completely filled and are legible – front and back.

          Ensure the medical information is filled out completely.

          Ensure the racer prints their name and signs the form – on the back.

Temporary License payment.

          The Temporary License fee is $25.00 - for up to three consecutive days of racing.

          If paying by check, the racer must make a separate check, payable to USSA.

          If paying by credit card, check the credit card and ensure the information on the Temporary License form is accurate.

          Attach the check or cash to the Temporary License form.

Foreign competitors with a valid Foreign Competition License.

          The foreign competitors must complete the Temporary License form.

          The fee for their Temporary License will be paid by PNSA Masters. 

 

AFTER THE RACE:

Place all Temporary License fees and paperwork in a 9 x 12 envelope.

          Carolyn Phillips (or her designate) will pick up the envelope and mail it to Bill Skinner (USSA the next day.
